We aim to answer within one business day, South African time. Questions from shops on the Premium plan are answered first.

Please include your store's myshopify.com address, what you were doing, and the number of any document involved.

Getting started

  1. Install StockDock from the Shopify App Store and open it from your Shopify admin.
  2. Go to Settings and add your business details, as they should appear on your documents: legal name, address, contact details and banking details.
  3. If you are registered for tax, add your tax number and rates in Settings, and check how your documents are numbered.
  4. Sell as usual. Each order becomes a numbered tax invoice, and recent orders are brought in when you install.

Common questions

Does StockDock change my Shopify orders?

No. It reads your orders and numbers a tax invoice for each one, but never changes an order. The only things it writes to Shopify are the stock changes you make in it, on the Growth plan and up (deliveries, counts and transfers), and, if you turn it on, a draft order for a quote a customer accepts and pays online (Professional and up).

Why can't I edit an invoice?

An issued tax invoice must stay as it was issued. A refund in Shopify becomes a credit note against the invoice. If an order's customer changes, StockDock issues a corrected invoice.

How do I get a PDF?

Open the document and press Download PDF. Or press Email to send it with the PDF attached, or Make a link for a link to send by WhatsApp, which the customer opens without signing in.

Can StockDock email invoices by itself?

Yes, on the Growth plan and up: in Settings, under Documents, turn on "Email each tax invoice to the customer as its order comes in". Each goes to the order's email address with the PDF and a link, written in the customer's language, and is noted on the invoice. Test orders and orders older than two days are never sent.

How do payment reminders work?

Give your invoices days to pay (Settings, Documents), and an invoice is overdue after them. On the Professional plan and up, turn reminders on and StockDock emails the customer so many days after the due date, then every so many days, until the invoice is paid. On any plan from Growth, you can send a reminder yourself from the Debtors page or the invoice, by email or by WhatsApp.

Why does the email say "via StockDock"?

Emails leave from StockDock's own address, in your shop's name, so that mail services accept them; replies come to your business email. On the Premium plan you can send from your own domain instead: Settings, Documents, "Send from your own domain" shows the records to add to your DNS.

Can my customers download their own invoices?

On the Professional plan and up: in Settings, under Shopify, turn on "Let customers download their invoices from their account", then add the StockDock block to the order page in your customer account editor in Shopify. A signed-in customer sees their own invoices only.

How do I print shelf and barcode labels?

Under Stock, Labels (Growth and up): add the items and how many labels each, choose the sheet (Avery L7160, L7163, L7651 or L7165) or a 50 × 30 or 58 × 40 mm roll, and print at 100% with no margins. Each label shows the name, the price as Shopify lists it, the SKU and a barcode the till scans.

Can a customer sign for a delivery on their phone?

Yes, on the Growth plan and up. On the invoice, under Send, press Delivery note link and send it by WhatsApp or any message. The customer opens it, checks the goods, types their name and signs in the box with a finger. The delivery note then prints with the signature, and the invoice says who signed and when.

Can I count stock with my phone's camera?

Yes, on the Growth plan and up. On a blind count, press Scan barcodes: the camera reads each barcode and adds one to that item, in Chrome on Android and other browsers that read barcodes. A scanner gun, or a barcode or SKU typed into the field, does the same in any browser.

Can StockDock make e-invoices?

On the Premium plan: in Settings, under Documents, choose UBL (as Peppol BIS Billing 3.0 lays it out), CII (as Factur-X and ZUGFeRD do) or both. Each issued invoice and credit note then has the XML to download beside its PDF, and emails carry both. The settings say what the standard still needs from you, such as your registered name or VAT number. Sending over the Peppol network is not offered yet.

How do I give my accountant access?

On the Premium plan: in Settings, under Tax, use "Your accountant's access". Type their name and email, and StockDock emails them a private link. It opens your reports for any period, the return pack, the numbering audit and every invoice and credit note as a PDF, with no login, and nothing can be changed through it. You see how often it was opened, and you can stop it at any time. To also send them the month's archive on the 1st, turn on "Add the month's archive" under Documents.

Can I control what my staff may do?

On the Premium plan: in Settings, under Staff, everyone who has opened StockDock is listed. Give each a name, and choose whether they may void documents, correct a buyer, change settings, change stock, lock tax periods or change numbering. You, the owner, may always do everything. Under Settings, Activity, you can search everything done, by whom and when, and download it.

Can each of my stores have its own details on its invoices?

On the Premium plan: in Settings, under Business, "Your locations" lists your Shopify locations. Give a store its own name, address, logo or bank details, and the invoices of orders sold there use them. Add its manager's email, and each morning they get the end of yesterday at that store, ready to print for the cash-up.

Can my invoice links use my own web address?

On the Premium plan: in Settings, under Documents, "Links on your own domain" takes an address such as invoices.your-shop.co.za. Add the record shown to your domain's DNS, then press Check. Once it is active, every link StockDock makes for your customers, in emails, QR codes, WhatsApp and at the till, opens there. To leave StockDock's name out of your emails as well, turn on "Leave StockDock's name out of your emails" under Sending.

What is the end-of-day page?

Under Reports, End of day (Growth and up): one day at one location, or everywhere, with the sales, the credits, how it was paid, and every document, to print and sign with the cash-up.

Where do serial numbers go?

On the invoice, under Serial numbers (Professional and up): the serial of each unit sold, with its warranty in months. Under Customers, type part of a serial to see when it was sold, to whom, and whether the warranty still runs.

What happens if my plan ends?

Your shop goes back to the Free plan. Your orders still get their numbered invoices, so your numbering never skips, and you can view, print and send everything; the paid features wait until you choose a plan again. Only a bill Shopify could not collect makes StockDock read-only.

How do I change or cancel my plan?

In StockDock, go to Settings and choose "Change your plan". It opens Shopify's plan page for the app. Shopify handles the billing.

A customer asked for their data. What do I do?

Shopify passes the request on, and it appears on StockDock's home page. Open it, download what is held, give it to the customer, and mark it as given.

Where is my data kept?

In the European Union, each shop in its own database, with encrypted backups every night. Our privacy policy has the details.

What happens when I uninstall?

48 hours after you uninstall, Shopify asks us to erase your shop's records, and we do. Download your reports and save the documents you need to keep before you uninstall.
